Purchasing Administrator

Location: Tiptree, Essex

Salary: £21,000 to £23,000 per annum (DOE)

Hours: Monday to Friday, 08:00 am to 17:00 pm, and flexibility with working hours is essential as overtime will be required from time to time.

Our client is based in Tiptree, Essex and was established in 1958. They offer a dedicated DIY and Shelving service supplying a range of Melamine and Veneered panels. Furniture components are manufactured on their state-of-the-art machinery which occupies several well-constructed factories on their sixteen-acre site.

They are currently looking to recruit a Purchasing Administrator to join their team.

Responsibilities of the Purchasing Administrator:

  • Ordering material via internal software, email and online.
  • Logging all material ordered.
  • Managing supplier acknowledgements, logging dates on red dot sheet
  • Checking delivery dates by using the red dot sheet and notifying departments of any delays or problems.

  • Issue purchase orders via Syspro for stock as instructed by MD.
  • Monitor Syspro stock levels and re-order to ensure optimum stock levels.
  • Updating details on materials such as price information or customer information, etc. 
  • Coordinating with departments with regards to stock materials ETA's.
  • Monitoring outstanding orders and ensures records on Syspro match key supplier records.
  • Ensure that all damaged and quarantined stock are credited or replaced by suppliers.
  • Update stock code prices on a regular basis.
  • Investigate stock discrepancies, notify relevant departments and resolve any queries.
  • Investigate any Purchase invoice queries from the Accounts Department.

  • Investigate missing Despatch notes correlating to invoices from the Accounts Department.
  • Sourcing and researching new materials.
  • Resolving supplier material issues and ensuring that the Company’s account is credited where applicable.
  • Comparisons on product as requested/required.
  • Maintain existing supplier relationships.

  • Optimising orders to assist Technical team and to ensure production levels are kept at an optimum.
  • Updating “Red Dot” sheet with stock arrivals.
  • Update Syspro with stock arrivals
  • Keeping record of what stock materials are booked in for offloading.
  • Periodically reviewing slow moving/obsolete stock.
  • Provide stock control function on all decors for 1 specific customer.

  • Ensure that work area is kept clean and tidy.
  • Work within health and safety at work act of 1974 at all times and in all working areas.
  • Ad-hoc tasks may be requested from time to time that is not listed above but will be required.
  • Additional hours may be required during busy periods.
  • Perform any reasonable management instruction within time frame requested.

Future Developments to Role:

  • Provide a regular update on all purchasing activities to Technical and Quality Manager as well as the Sales Team Supervisor.
  • Link product specifications with requirements of FSC and PEFC for audit.
  • Review stock trends on a regular basis and provide findings to MD.
  • Sourcing/researching (new) materials with the view of low cost and higher value.
  • Maintaining and developing supplier relationships by means of regular supplier visits
  • Ensuring supply chain adheres to Modern Slavery Act.

Requirements of the Purchasing Administrator:

  • Previous experience in a purchasing administrator role or similar
  • The ability to manage and organise a busy work load
  • Maths and English GCSE's grade C or above (or equivalent)
  • Intermediate user of MS Office in particular MS Excel.
  • Intermediate user of MS Outlook.
  • Good communications and negotiation skills
  • Excellent attention to detail.
  • Ability and desire to progress and train in a Purchasing role
