Our specialist and reputable client are seeking to recruit a Documentation and Logistics Co-Ordinator due to company growth.

Duties:

To ensure that every customer order is processed effectively and efficiently

To ensure documentation is created, checked and processed efficiently and to a high standard

To take responsibility for the Quality checks on in coming product as required.

To assist the D&L Manager to manage goods received processes on a day to day basis ensuring all products are correctly recorded and stored.

To assist the D&L Manager to ensure all relevant Import/Export documentation is completed so that shipments comply with legislation and customer demands and are processed as smoothly as possible by Couriers/Border Agencies.

To assist the D&L Manager to work closely with the Business Development, Administration and Sales Teams to provide a seamless service to our customers

To take every opportunity to promote the image and interests of the company with customers, suppliers and other contacts

To actively promote teamwork with all departments and branches

To pro-actively manage the health and safety of yourself and others

To assist the D&L Manager with all Warehouse tasks where necessary

Actively work with Business Partners to maintain strong working relationships

Activities & Responsibilities:

* To assist the Warehouse department to manage goods received processes on a day to day basis ensuring all products correctly recorded and stored.

* To follow the instructions and operating procedures of the Warehouse

* Responsible for ensuring all import documentation is correct and all required documentation required is present

* Responsible for cross checking the accuracy of all customer and product information on documentation and database systems

* Responsible for assisting the Documentation & Dispatch team with the dispatch of orders including checking and creating product specifications sheets for customers, export license applications, booking couriers and following up on deliveries

* To assist the Logistics team to ensure all relevant Import/Export documentation is completed so that shipments comply with legislation and customer demands and are processed as smoothly as possible by Couriers/Border Agencies

* Ensure all Customer communication and Supplier communication for the entire product range is responded to and processed accurately and in a timely manner, in line with the relevant SOPs and departmental standards, including: Certificates of Analysis, shipment of orders, delivery updates, tracking and dispatch.

* Assist the Documentation and Logistics Manager to ensure stock is accurately recorded, regularly checked and pro-actively managed.

* To work closely with and support all departments, providing them with relevant reports, information, data, resources and correspondence in the event of queries and/or requests for assistance.

* To comply at all times with client, company and legal requirements such as health and safety, first aid and accident reporting.

* To actively protect company information, customer confidentiality and the security of staff and the business premises

* Work closely with the Management Team to create and maintain Business Continuity Plans to provide consistent service to customers.

* Ensure that day to day courier driver relationships are monitored and nurtured

* Ad-hoc tasks for Line Manager as required

* To assist the Management Team with all reasonable requests

* Take reasonable care for the Health and Safety of yourself and any other persons who may be affected by your acts and to co-operate with the Company in order that the employer’s duty may be fulfilled.

* Support D&L Manager by providing reports and information for monitoring KPIs

* Provide quality checks on all product documentation including Certificates of Analysis and Batch files

Person Specification

Education & Qualifications

Preferable work experience in Business or Logistics

Experience of document creation and/or checking

Good skills in Microsoft Office

Proven ability to maintain accurate records and files

Ability to communicate clearly with colleagues, management and suppliers

Ability to work under pressure

Skills, Knowledge and Experience

* Working experience gained in Warehouse or similar environment

* The Ability to multi-task and prioritise workload

* Ability to work in a front line, high pressure, reactive environment

* Ability to work under pressure

* Strong communicator

* IT Skills

* Excellent attention to detail

* A practical, flexible and innovative approach to work

* Common sense approach
