Our client is a global expert in producing creative live events. They are an established company bursting with creativity and capability who are well placed to look after clients of all sizes, are seeking a ** Warehouse and Logistics Coordinator ** to join their team (this is following a pause on recruitment due to their busy summer months).

The Warehouse and Logistics Coordinator is a supervisory level role which will provide support in the day to day running of the warehouse, responsibilities inc:

Responsible for logistical and technical operations support of our clients' exhibit and live event projects
Driving and transportation of exhibit and live events assets where required on specific projects within Europe.
Working in partnership with the Project management teams across all accounts including external suppliers to secure/arrange kit movements to/from congress site.
Be point of contact for transport companies/suppliers. Provide delivery information and oversee deliveries/collections.
Act as a key point of contact for all of our clients logistics and 3rd party suppliers (Exhibit Contractors, Transport companies, rigging, production, designers and AV suppliers.
Effectively negotiate costs with suppliers and manage the allocation of budgets to suppliers with a focus on margins/profitability.
Provide Project management team with quotations as required for shipping, I&D, venue services, transport logistics, AV and storage.
Secure congress venue technical services as directed by Project Management team (Internet, electrical supplies and other as required).
Responsible for the upkeep, maintenance of all kit within the warehouse and upkeep of kit tracking systems working with IT and Technical Producer.
Ensure PAT testing certificates up to date for on-site/warehouse tools and kit working with contractors.
Responsible for the upkeep, maintenance of warehouse facility and safekeeping/housekeeping of stored items and AudioVisual.
Responsible for regular reviews of Warehouse contents, client owned materials. Ensure regular reviews with Directors and make recommendations for removal/disposal including working with Project. management team ensuring total compliance to H&S protocols.
Be responsible for any H&S related issues/updates working aligned with internal H&S team.
Responsibilities for upkeep of the offices (Boiler, fixtures and fittings) arranging service and repairs where necessary.
Client facing ability. Act as an ambassador for the business and the wider management company team
Commit to delivering the highest quality in all our events, exceeding customer expectation and continually improving and innovating our service offering
Maintenance of company vehicles (Tax, Insurance, MOT etc)
Ideally demonstrate basic working knowledge of AudioVisual (e.g. set up test of screens for testing video/interactive applications) working aligned with technical producer/Project Management team
Be responsible for the business upkeep/running operation of warehouse (storage, packing and general housekeeping).
Use of company balance forklift, experience with forklift driving required.
Driving/delivery/pick up of exhibit and live event assets/materials when required in UK and Europe
Working with external contractors and internal teams to secure venue specific services (load/unload dates, internet, cleaning, rigging etc.).
On site congress Transport/installation/de-rig on nominated projects as and when required.
Be able to remain on site at congress to assist Project management team with daily congress project operations & logistics, including multi drop to different venues within congress location.
Have a working familiarity with office technology (email, handling of digital assets such as PDF etc)
Manage/oversee/complete H&S compliance documentation as required (Method statements, Risk Assessments) for meeting/exhibit projects working aligned with Management Business H&S team
Work with Directors on New Business pitches providing logistics, build/venue costing information/advice where required.
Ensure up to date inventory tracking of warehouse Kit, AV, Tools etc. Work with the Technical producer to ensure AV equipment/software up to date and all machines "clean" when sending to site.
Ensure that Client owned kit inventory up to date. Identify any stock that can be disposed of. Make a conscious effort to maximise space within warehouse.
Have an awareness and be comfortable in handling a wide array of meetings technical Audio Visual, software and PC applications. E.g. awareness of different specifications of meeting and live event AV kit (screens, PC's etc. (Training available).
