Our client in Huntingdon is looking for a smart and organised administrator with excellent communication abilities and a pleasant telephone manner. The successful candidate will be the first point of contact for the office and will also manage facilities services for the owner’s house and office.
This is a busy role where duties will include;
- Liaising with a wide range of people, including many international contacts
- Checking incoming contracts to ensure all details are correct
- Ensuring any clauses comply with company terms and conditions, negotiating amendments where necessary.
- Working with agents and promoters to arrange detailed schedules covering travel, transport and events.
- Researching and booking travel, transport and accommodation
- Providing necessary information about events in a timely and appropriate manner
- Researching and organising all necessary applications for staff travelling for events.
- Dealing with all incoming telephone calls efficiently, directing callers to the appropriate person or department as necessary. Recording all relevant details on a database.
- Managing all entries in the in-house Outlook diary, synchronising it with Google Diary.
- Arranging all transportation, ensuring the correct item arrives at the correct venue and negotiating transportation quotes as required.
- Undertaking general administration tasks such as dealing with all post, filing documents, maintaining the contact database, typing letters/emails and maintaining office equipment and responsible for ensuring maintenance of all office building services.
- Providing administrative support to the Managing Director for personal needs such as travel, car etc.
