We have an exciting opportunity for a Japanese Speaker with a leading shipping line to join their Ship Management Division as an Executive Assistant. We are looking for someone with strong communication skills and knowledge and experience in Safety Culture Enhancement Programs, alongside experience of arranging external events. Key Task and Responsibilities:
  • Assistant to the company’s safety culture enhancement project; this program focuses on the Human Element (behaviours etc.), it operates both on and offshore, and is running as part of our overall company improvement program
  • Assistant to SAYFR App user administration
  • Arranging projects merchandise and training aids
  • Assistance with the company magazine and use of Microsoft publisher software
  • Excellent understanding of various project Opex structures in order to:
    • Ensure all business travel related flight costs, and all staff business travel expenses, are charged correctly to relevant Opex Code (Eyeshare knowledge essential)
    • Keeping updated, detailed records of all business travel costs to ensure correct accounting (Eyeshare knowledge essential)
    • Be first line in Eyeshare process for all office related invoicing matters to ensure correct allocation of cost
  • Budgeting, monitoring and controlling company’s administrative costs e.g. travel (including negotiation with a travel agent), entertainment and other miscellaneous costs
  • Ensuring all records in relation to staff travel, from business trip request through to completion, are completed accurately – requires excellent knowledge of Shipnet
  • Planning and arranging company events, both internal & external (cost & logistics)
  • Monitoring & recording employee schedules (business travel & leave)
  • Control of new joiners and leavers documentation, Shipnet experience required
  • Administering the company’s regular meetings
  • Recording minutes of vessel operational meetings
  • Assistance to Japanese and non-Japanese Executives
  • General secretarial and administrative tasks including organising all mail to Company
Required Skills & Experience
  • Knowledge and Experience in the Safety Culture enhancement programs
  • Knowledge of various software packages, e.g. Shipnet and & Eyeshare is highly preferable
  • Some knowledge in relation to financial Opex structures is highly preferable
  • Good communication skills with both internal and external clients
  • Good skills and experience in cost management i.e. budgeting, monitoring and controlling
  • Experience in arranging external events essential
  • Fluency in both English and Japanese (writing, reading, speaking and listening).
