Export Co-ordinator

The Export Coordinator manages the export of the company's products to their clients and cold stores, ensuring that deliveries made are on time and to cost. The individual is accountable for obtaining the necessary documentation so that shipments are compliant with the regulations governing the export of food. The Export Coordinator manages the stock levels at overseas depots to ensure availability for customers, balancing supply and demand whilst considering stock levels and Best Before Dates in order to minimise wastage.

Key Accountabilities

1. Book shipping space and liaise with cold store facilities regarding loading, ensuring that the cold-stores have sufficient log tags for each shipment and all the necessary export documentation has been obtained, so that products can be delivered in line with agreed schedules.

2. Track shipments and provide paperwork and support to cold stores for the arrival of containers. Record damages and obtain intake information once containers unloaded, to ensure the effective management of products in transit. Keep internal teams and clients updated with progress.

3. Monitor the volume of stock held at overseas cold stores to minimise stock wastage through: establishing the optimum level of manufacturing output and forecasted volumes; and products are within BBE dates. Relay stock information to the Business Development Team.

4. Refer to the company's database or engage with suppliers / logistics partners outside the UK to understand the import documents required. Obtain Certificates of Origin, Export Health Certificates and any other regulatory paperwork necessary and provide in agreed format.

5. Review and record cycle plans, produce shipping schedules and manage containers, to ensure client requirements can be delivered against.

6. Engage with the Technical Team to secure positive / micro release for products, in order to meet critical path deadlines in project plans.

7. Liaise with destination warehouses and provide any documents required in order to secure the release of containers into their possession.

8. Manage air freight requests to provide product samples to non-EU clients, on behalf of the Business Development Team.

9. Develop and produce accurate management information regarding relevant export processes such as stock holding, containers in transit etc., to allow the Supply Chain Operations Manager and Executive Leadership Team.

10. Undertake a variety of administrative work to ensure the smooth running of the department which includes: updating shipping schedules; filing shipping documents; recording temperature control tag data; preparing cost comparisons for service providers; and authorising invoices. 11. Have a working knowledge of the duties covered by other members of the Supply Chain Team, in order to provide holiday and absence cover for colleagues.

Experience Required

The role will suit an individual who is highly organised, self-motivated, analytical, logical, possesses an eye for detail and can manage and meet deadlines. * Strong IT skills (Excel, Word and Microsoft Outlook). Familiarity with MS Navision an advantage
