Bid Manager

London, W1

£50k - £60k + sales com + benefits

Sitting within the Customer Management Division, Sales is a team of around 70 individuals whose job it is to source, scope, design and ultimately win large, transformational outsourcing and technology deals. Working across all industries, our team exists to build extraordinary value within our clients' organisations through long term partnerships. The Bid Manager will provide proactive and effective project management of the bid project and bid process and to support the bid team with the aims of ensuring:

  • You understand the deliverables, responsibilities of bid team members and timescales for achieving them - in essence, being the 'glue' for the bid team.
  • Any client submission is delivered on time, by the agreed method and medium, in line with the clients requirements.
  • All deliverables are of the requisite quality, support the win plan and help us maximise the points achieved during evaluation.
  • The bid timetable is prepared and maintained effectively and efficiently.
  • Bid forecast/costs are managed in line with any overall bid budget/spend ceiling.
  • You understand how the operational division works sufficiently to know where to go within the business and who to talk to, to complete bid activities

What you will do:

  • Act as key point of contact for both clients and Bid Team
  • Production of the RAT / internal bid timetable
  • Ensure Non-Disclosure and Teaming Agreements are in place where relevant and required for 3rd party suppliers and contractors
  • Training resources who are new to the Capita bid process
  • Setup and manage appropriate bid document repository
  • Work with the Bid Director to map out key resource requirements on the deal
  • Setup and manage the bid forecast
  • Establish regular bid team meetings and co-ordinate timely status updates
  • Maintain an accurate view of latest timeline and key deadlines for the deal
  • Project Manage the bid process from identification of initial opportunity through to submission of final tender to contract signature
  • Participation in client dialogue sessions, supporting key client meetings
  • Work with the Bid team to proof read, edit and validate workstream output as complete. Organise Red Team reviews where required and provide feedback from these reviews to the response owners as appropriate.
  • Plan and manage the production and publication of proposal or contract schedule submissions to the client
  • Work with the Bid Support Manager to forecast and plan for Bid Support resource on the deal.
  • Ensure that all compliance aspects are reviewed and adhered to (data security, agreements and specifications from client e.g. NDA). Ensure that Group Compliance are involved in any Financially regulated business opportunities
  • Work with the Sales Lead and Bid Director in preparing client presentations

Your experience will include:

  • Previous experience of bid management essential.
  • Ideally will have experience of project managing bids with TCV of £50m+ in the private sectors.
  • Ideally educated to degree level or equivalent.
  • Evidence of post graduate professional development is desirable but not essential.
