Under the direction of the Head of Operations, the post will manage Events and the day-to-day Operations at this leading venue, ensuring the highest levels of service and exceeding customer expectations. In conjunction with the Catering Manager, oversee the delivery of function catering plus the management and delivery of all alcohol in a safe, efficient and customer-focused manner.The Events Operations Manager is a key member of the management team with Duty Management responsibility for the building and line management of in-house stewards and agency staff.To deputise for the Head of Operations

SPECIFIC DUTIES OF THE POST:

  1. Events and Operational Management

1.1. Duty Management of events at the Mermaid, ensuring that the highest standards of service are established, maintained and improved.

1.2. Duty Management of the building, ensuring compliance with Health and Safety requirements.

1.3. Recruitment, training and management of in-house steward team and agency staff. Monitor the use of casual staff to ensure labour costs remain within budget.

1.4. Ensure all resources/consumables are ordered, received, available and assigned, as appropriate for each event in a timely manner and within agreed budgets.

1.5.Ordering, management, rotation and stock control of all alcohol. Responsible for cash handling and accurate recording of alcohol sales.

1.6. Co-ordinate all designated events on the day and liaise with organisers, delegates, suppliers and internal departments e.g. sales, catering, security, audio-visual and cleaners to ensure that clients requirements are delivered and all contractual obligations are met.

1.7. In the absence of external technical expertise, you are able to provide basic assistance in the operation of audio-visual equipment that has been supplied.

1.8. Ensure that event consumption records are correct so that final invoices are prepared in a timely and accurate manner.

1.9. Maintain accurate records of daily and weekly Health and Safety checklists and provide statistical and management information, as required, by the Head of Operations.

1.10. Accompany the sales team on show rounds and tastings to ascertain the logistics of an event and advise sales staff and the client of the implications or alternatives that may be available to ensure a successful event.

1.11. Assist in the managing of team rotas and to take responsibility for calculating the weekly wage cost and ensuring it is within the required budget.

1.12. To be a proactive member of the Operations Team and to provide suggestions for changes in service strategy and product development.

1.13. Manage and undertake projects as required by the Head of Operations and to work with other senior members of the team in carrying out such projects, research or initiatives as requested which are broadly in line with your key responsibilities.

1.14. Deputise for the Head of Operations in their absence.

Premises and Equipment

2.1. Notify the Head of Operations of all repairs and maintenance issues.

2.2. Responsible for securing the building and the safe handling and storage of all equipment.

2.3. Ensure that all electrical equipment is PAT tested and the relevant statutory legislation is complied with at all times and to rectify any items not meeting statutory legislation.

2.4. Ensure that the venue is set-up according to the agreed specifications for show round presentations and/or client events

3.1. To ensure that the venue complies with all relevant health and safety legislation within your areas of responsibility and within your scope of training.

4.1. Be willing to wear uniform and protective clothing in line with company policy if and when required.

4.2. Job descriptions cannot be exhaustive and the post-holder may be required to undertake other duties, which are broadly in line with the above key responsibilities.

Events Operations Manager

The ideal candidate will have the following qualities: -

  1. A minimum of three years experience or qualifications in the duty management of conference events, audio-visual and catering.
  1. A knowledge and experience of catering in a conference or events environment.
  1. Enthusiasm and skills in the application and understanding of customer care and service, and ability to work with a variety of personalities at all levels.
  1. A friendly, helpful and tactful approach to customers and service providers.
  1. The ability to work under pressure, making rapid, on-the-spot decisions.
  1. Possess proven staff management skills and experience of co-ordinating a team.
  1. Experience of a wide range of computer software applications, in addition to the standard Word, Excel, PowerPoint and Internet applications.
  1. Excellent interpersonal and communication skills, (both verbal and written) as well as an excellent telephone manner.
  1. The ability to:
  • Manage and motivate staff, both on and off-site
  • Work as part of a close knit management team
  • Work quickly and accurately, with attention to detail
  • Ability to prioritise and make decisions under pressure
  • Work without supervision, using discretion and initiative
  • Trouble-shoot and solve problems
  1. Experience of successfully managing resources in a current

or recent post, or for an external club or organisation.

  1. A flexible approach to working hours is essential. Position involves evenings and weekend work, duty management and on-call responsibility.
