Contracts Manager

Location: Field based (South region) and office based at Propertyserve’s Head office in Amersham
Salary: Up to £40K, DOE
Contract: Full time, Permanent

Propertyserve are now recruiting for a Contracts Manager to support the National Contracts manager (NMC) in effective and efficient management of our South supply chain, ensuring that we maintain satisfactory coverage of specialised contractors within your region.

The Contracts Manager will be expected to confidently liaise with internal and external stakeholders to continue to build smooth contractor processes and relationships. You will work collaboratively with the NCM and the helpdesk to ensure that our supply chain is working to the best of its ability and to current legislation.

Key Responsibilities of the Contracts Manager:

Supplier Management

  • You will be responsible for maintaining appropriate levels of suppliers within your region (circa 35 suppliers)
  • Evaluate existing supply chain and identify gaps
  • Provide report and recommendations to the NCM for sign off
  • Manage the supply chain within your region day to day
  • Initiate contact with potential new suppliers for your region
  • Request and review pre-qualification documentation
  • Ensure supplier approval system is maintained and all suppliers achieve and maintain "green flag" status.
  • Negotiate contracts and rates with suppliers based on the Company’s policies
  • Work with the NCM and CM (North) on any National supplier contracts
  • Conduct quarterly review meetings with your regional supply chain Ensure the Helpdesk is fully briefed and informed of any changes to suppliers
  • Supplier management ranges across multiple clients
  • Provide monthly reports to the NCM for review.

Operations Management

  • Act as the first line of escalation for all operational issues raised by the Business Support Manager or team Leader for your region.
  • Ensure all supplier related issues are dealt with for jobs/tasks within your region
  • Attend client review meetings quarterly
  • Work closely with the NCM and National Quality Manager to ensure continuity of service across the region.
  • Maintain frequent communication with Accounts Payable, Helpdesk and other relevant management to ensure a rounded client service.
  • Arbitrate disputes between supplier and client to conclusion.
  • Attend site meetings where required to resolve disputes.

Essential Qualities

  • A minimum of 5 years’ experience in the FM industry, client side or in a management position supplier side
  • Experience of supplier relationship management
  • A responsible attitude
  • Ability to prioritise work
  • Good at planning ahead
  • Remaining calm under pressure - negotiations, complaints
  • Excellent Decision-making abilities
  • Sound IT skills
  • Time management
  • Ability to have authority but tactful with it
  • Accurate record keeping
  • Experience of buying services
  • Experience of managing services

Desirable Qualities

  • Commercial property knowledge/experience
  • Educated to A level or equivalent
