Procurement Executive
37.5 hours per week
Up to £35,000 per annum

The primary function of Procurement Executive is to develop and maintain the companies central repository for contracts and leases.

You will be the first point of contact across the team for all matters relating to contract queries and to support the team generally in achieving its objectives. You will also provide support to the business in undertaking low spend purchasing activity in accordance with Procurement Policy.

Role & Responsibilities

Obtain all available contract data and input into the format best enabling tracking and review by the Property and Procurement team

Ensure all contracts are in a central location and the Contracts Register provides a direct link to them

Working with stakeholders across the whole Group of companies to identify all use of suppliers with or without contracts and create a report of non-tracked spend regardless of P&L

Work with the Property Portfolio Administration & Helpdesk Manager and the Group's agents to develop a new form of Lease Register which provides the business with full visibility in one place of its leases, premises and with the support of appropriate suppliers, an assets inventory for each of these premises

Ensure a copy of each lease agreement is linked within the Lease Register for ease of reference

Analyse Contracts and Leases to ensure the registers clearly identify key clauses and timeframes from each agreement such as termination dates, notice periods, break clauses, penalties etc.

Support stakeholders in procurement activity such as RFQ's or written quotations to ensure they adequately test the market and determine suitable supplier selection based on appropriate criteria

Shadow the Property Portfolio Administration & Helpdesk Manager where possible to understand the day to day operations of the team

Create a monthly reactive maintenance report which analyses the helpdesk call and email activity to enable the team to maximise how it responds to such requests

Provide helpdesk assistance where workloads dictate

Update the procurement savings tracker on a weekly basis ensuring all identified savings are logged and approvals obtained

Ensure that identified savings become 'actual' by ensuring suppliers are billed or issue credits as per agreements

The ideal candidate

Experience of working as part of a Procurement function in the capacity of Procurement Coordinator, Junior Buyer or Contracts Administrator (or similar)

Able to demonstrate the ability to carry out basic procurement processes using specified evaluation criteria

Experience of reading and understanding contracts and carrying out searches on contract queries

Working towards a CIPS qualification (level or above 4 preferable)

Advanced Microsoft Excel skills

Experience of having used e-tendering, P2P, financial software systems

Highly articulate when communicating at all levels/grades
