Our Client is an independently owned and operated company that works exclusively with clinical trial materials. The UK site provides secondary packaging (labeling and kitting) of any dosage form into plain packaging to ensure blinding of supplies for clinical trials, and storage and distribution of clinical materials for use in clinical trials. Their facility near Reading serves as the distribution hub for the packaged clinical trial materials to Europe and the rest of world.

They are now seeking a Logistics / Shipping Coordinator(also advertised as Distribution Processing Coordinator and Order / Documentation Processor) - Clinical Supplies to join their dynamic team. This position is a full-time permanent role and will report to the Operations Manager. It will be office based near Reading, Berkshire.

Job Purpose

This Position is responsible for assuring overall cGMP compliance with all procedures affiliated with the processing of documentation in fulfillment of clinical supply shipment requests.

Key Areas of Responsibility

  • Responsible for compliance with internal SOPs and cGMP.
  • Responsible for verifying shipment request’s accuracy, legibility and availability of supplies for fulfillment of the shipment.
  • Verify request bears an authorized signature as recorded on Drug "Shipment Authorization Form" when applicable.
  • Verify the required study specific Clinical Supplies Shipping Invoice format has been approved for use before processing shipment documentation.
  • Act as liaison with Operations Manager and Distribution Management in determining and maintaining inventory levels, expiration dates of products including finished goods as well as components.
  • Verify drug’s expiration date is current before processing shipment document.
  • Verify inventory levels in proposal specific spreadsheet are sufficient to fulfill request.
  • Track inventory by decrementing inventory levels in database and report to Finance as required.
  • Notify Distribution Manager when inventory levels are low.
  • Record the shipment in proposal specific spreadsheet: Investigator name, ship date, and assign a proposal specific shipment ID for traceability of each shipment.
  • Prepare a shipment packet that contains the required documentation for fulfillment of each shipment request.
  • Process Custom documentation when required for international shipment for the shipment fulfillment packet.
  • Provide packing configuration for temperature sensitive and/or dangerous goods shipment as required per proposal.
  • Immediately notify Operations Manager, QA and Project Management departments of any discrepancies related to shipment and/or status of drug product.
  • Provide follow up with client and/or IVRS notification of shipment as required for proposal specific projects.

Qualifications and Experience

  • Educated to GCSE / A Level Standard
  • Attention to detail is essential for this position
  • Familiarity with the pharmaceutical industry is desirable but not essential
  • Clinical Supply experience is desirable but not essential
  • Excellent interpersonal skills

  • Excellent mathematical skills
  • Computer literacy skills
  • Good working knowledge of MS Office, including Excel

In return our client is offering a competitive package for the successful Candidate including a basic salary of £23,000 - £25,000 per annum plus benefits.
