ISS UK is looking to recruit an Assistant Contracts Manager based in North London, you will play an important role within the contract management team. You will be responsible for overseeing the delivery of services across one of our key contracts. Managing the clients expectations at all times you will be their first point of call with any queries or requests.

Key Responsibilities:

  • To manage the Cleaning and associated services at the University
  • To work with the Contracts Manager and University Client team to develop and further enhance the contract including additional services tenders and strategic direction
  • To ensure financial budgets and targets are achieved
  • To ensure compliance with all Health and Safety aspects of Contract Management
  • Ensure compliance with current Health & Safety Legislation
  • Ensure Site Files are current and visible (COSHH, Risk Assessments, Safe Systems of Work, Method Statements, Statutory Compliance Inspections and Maintenance Records)
  • Ensure all accidents/incidents are reported via KMI within 24 hours and thoroughly investigated in line with ISS procedures
  • Ensure all H&S signs in cupboards and notice boards are compliant and visible
  • Ensure Cleaning Cupboards are clean and tidy and cross contamination does not occur
  • Ensure all equipment is maintained and safe to use (PAT tested and inspected)
  • Ensure all Near Hits are reported in the relevant booklets
  • Ensure a PAT Testing regime is in place for all equipment in accordance with the Portable Appliance Testing Risk Assessment for the University.
  • Ensure, at a minimum, Tool Box Talks are held and documented on a monthly basis and that UK mandatory topics are delivered and highlighted and recorded when not relevant
  • Observe Client and Company statutory fire and safety regulations and promote safe working practices
  • Undertake measures to create a pro-active culture to Health & Safety by all ISS employees and specialist subcontractors involved in this contract
  • Ensure all subcontractors are inducted to site and provided with access and security requirements
  • Ensure all relevant risk assessments and documentation for permit to work are reviewed and recorded prior to specialist subcontractor work being undertaken on site
  • Ensure all quality and compliance audits are carried out by the Supervisory/Management Team in line with the Audit Schedule
  • Conduct audits on standards, SLA’s and H&S in line with the Audit Schedule
  • Ensure all issues resulting from audits are actioned within given timeframes
  • Ensure all buildings within Campuses are physically visited at least once/month
  • Ensure the deputies / Team Leaders sufficiently understands the role of Contract Manager to enable that person to deputies in your absence
  • Fully understand the agreed Specification and Scope of Works
  • Ensure contractual compliance across the service delivery by achieving client KPI’s and SLA’s in both the soft service and waste management services
  • Liaise with the client representatives and resolve all contractual queries
  • Promptly deal with complaints and service requests
  • Take accountability for the day to day successful delivery of the service
  • Continually monitor effective and efficient opportunities to improve services and productivity

Relevant Qualifications & Skills

  • A clean full driving licence
  • Intermediate Microsoft Excel, Word and Outlook skills
  • Proven ability to analyse statistics and create meaningful reports

Desirable:

  • Level 2/3 Health & Safety Certificate
  • Experience in the facilities service industry (particularly soft services)
  • Preferable experience in an Education environment
