Documentation Controller - Freight Forwarding

Role Purpose

Responsible for the effective management of all document control of commercial and contractual documentation and administration activities of the Service Delivery Team within Farnborough including tracking and managing all documentation for the operations associated with the Project.

Responsibilities

  • Management of all document control and administration activities of the Service Delivery Team for the Bertling logistics operations for TCO FGP contract including tracking, issuing and managing all locally created documentation
  • Collating data then tracking, issuing and managing the local contract documentation including internal & external weekly, monthly, quarterly, ad hoc and annual reports
  • Assisting with the creation of meeting minutes & actions and responsible for distribution of same
  • Uploading data to and downloading data from COMPANY’S document management systems including Viewpoint for commercial documentation and POL (Projects OnLine) for technical documentation
  • Maintaining the document management for the Project
  • Allocation of document control numbers as appropriate
  • Occasionally provide assistance, guidance and holiday cover to the local Service
  • Assistance with the collation, amendment and origination of data for proposals
  • Responsible for the creation and maintenance of the document registers
  • Perform quality control checks to ensure documentation complies with agreed specification & Project/Contract specific requirements
  • Ensure all original documentation is carefully maintained in secure locations and digital back-up copies are maintained
  • Assist with the Planning & Proposals of all aspects of local document management Delivery Team
  • Assisting with contract/project close out and archiving process
  • Upon request carrying out documentation searches & retrievals & providing copies of documentation as appropriate
  • Proof read documents drafted by others
  • Produce and Maintain local Document Templates and Formats
  • Liaising with other regional offices and facilities on document management issues
  • Assist with generation of graphs, flow charts and other presentation materials
  • Expediting of information and outstanding responses from various sources
  • As part of the Service Delivery Team provide a range of services on an ad hoc basis as directed by the local Project Director
