Acorn Recruitment is seeking an experienced all-round administrator to work within the Purchasing department of their client based in North Bristol. This is a full-time post, offering a salary of between £18,500 - £19,000 pa.
OVERALL PURPOSE OF JOB
To place stock and non-stock orders. Progress purchase orders, maintain accurate records and systems. Maintain vehicle, general insurance and building lease and other databases. Provide administrative support to the Purchasing Department.
KEY TASKS & RESPONSIBILITIES
- To identify stock items that need to be ordered each day (re-order report), clarifying any anomalous items with Materials Control. To process non stock (revenue and capital) purchase requisitions, ensuring correct authorisation and placing orders in an accurate and timely manner, advising requisitioner of any issues. Escalate complex or unprocessed items as agreed.
- To liaise with suppliers and arrange to bring in sufficient stock, early if necessary, as advised by Materials Control. Update Materials Control of progress and issues as required.
- To proactively contact suppliers who fail to achieve agreed delivery dates on an as required basis, chasing items due for delivery in advance. To maintain a data base of such suppliers for discussion with purchasing supervision as part of "Supplier Performance Monitoring".
- Once advised by stores of non-receipt of goods, contact suppliers and progress as required. Record and log such non-deliveries, identifying patterns and advising purchasing supervision and effected personnel accordingly.
- To process purchasing activities and queries in an efficient and effective manner, maintaining accurate and up to date databases, filing and records following liaison with internal and external customers.
- To maintain Group vehicle, insurance, building leases and other databases in a timely and accurate manner.
KNOWLEDGE/EXPERIENCE REQUIRED FOR ROLE
- Minimum 2 years experience in administration role, preferably within a purchasing environment.
- Knowledge of computer based purchase ordering systems an advantage.
- Good interpersonal and communication skills.
- Computer literate, including intermediate MS "Office" and "Excel" skills
