Transport and logistics Administrator (Contract)

Department: Supply Chain

Responsible to: Transport and Logistics Lead

Responsible for: Admninistrative activities relating to the Logistics Function

Main purpose of the job:

To provide administrative support to the Transport and Logistics Team. To provide accurate and timely documentation within project requirements.

This is an excellent opportunity to join a project team, working for one of the worlds leading companies in their field, operating in a global structure. Working from beautiful corporate offices, in a fast paced, exciting and challenging work environment. This is a contract based position, initially for 6 months, but with the strong likelihood of further, long term extension. This role presents an excellent opportunity to gain experience within a high profile organisation, within the Logistics Oil & Gas sector.

Responsibilities/Duties:

  • Providing administrative support to Group Transport and Logistics Team.
  • Receiving and processing supplier logistics documentation
  • Prepare and manage project documents, correspondence and reports.
  • Formatting of project deliverables to a high standard.
  • Set up and maintain project filing systems.
  • Support Project logistics department with distribution and filing of documents.
  • Expediting logistics documentation both internally and externally
  • Liaising with Client to meet documentation requirements for Kazakhstan (and other customs regions)
  • Receiving logistics paperwork and checking and verifying correctness
  • Liaising with Client on logistics documentation submission and verifying supporting documentation to support efficient logistics activities
  • Provide documentation status reports

HSSE and Quality Responsibilities:

  • Take reasonable care of your own health and safety and of others who may be affected by your actions.
  • Co-operate with Group compliance by following all relevant health and safety policies and safe practice.
  • Not to misuse any equipment and report any damaged equipment.
  • Report all injuries, incidents and near misses and to proactively support our behavioural based observation system.
  • Implement established procedures to ensure compliance to Quality and HSSE requirements.
  • Identify opportunities for improvement in Quality and HSSE and notify the relevant department

Required experience / Qualifications

  • A minimum of 2 years’ experience within a Global Logistics/Freight Forwarding company (Essential)
  • Experience within the Oil & Gas sectors preferred (Beneficial, but not essential)
  • Excellent Microsoft Office skills and good general PC/CRM skills
  • Prior experience in a similar role (experience within a Project team would be beneficial)
